Now Hiring: Outreach Program Assistant

 

The Chesapeake Arts Center Outreach Program Assistant will serve as the primary coordinator for the after-school program operated out of the Chesapeake Arts Center. S/he will be responsible for the day to day operations of the program which include developing, implementing and over-seeing the after-school activities of the program with the Instructors on site and off site locations. S/he will also be responsible for evening supervision of the building, registrations for classes and assisting any teachers if need be.

Job Type: Part-time

Reports to: Artistic Director / Education Coordinator

Hours per Week during School Year:

  • Monday: 2:00pm-6:00pm
  • Tuesday: 2:00pm-9:00pm
  • Wednesday: 2:00pm-9:00pm
  • Thursday: 1:00pm-9:00pm
  • Friday: 2:00pm-6:00pm
  • Saturday: Need Be For Events
  • 29 Hours total

Essential Functions

  • Manage and implement a program schedule of activities in accordance with specifications and funding In coordination with the Education Coordinator
  • Monitor program, participant files and assure all items are complete and meet regulatory requirements.
  • Submit quarterly program reports ( enrollment, rate of participation, data for grants)
  • Help and monitor homework/ snack time before after-school program starts
  • Build and maintain positive relationships with schools, youth, and parents/caregivers.
  • Participate in meetings with the Artistic Director, Teaching Artists, and the Education Coordinator
  • Coordinate the recruitment of participants, follow up with parents on participant performance and ensure contractual requirements for attendance are being met.
  • Accountable to report all program incidents up to the chain of command
  • Coordinate with the Principals and Teachers about the enrollment of students, programs and schedule
  • Enrollment for CAC programs and events using Showare ticketing system
  • Assist art instructors that teach evening classes
  • Monitor and secure the safety of the students, parents and instructors in the evening
  • Help plan the outreach program showcase
  • Prepare for classes by shopping for supplies requested by Art Instructors
  • Create attendance sheet for Instructors
  • Sign students in/out of the program each week
  • Manage Interns that help the after-school program
  • Help assist the Education Coordinator with the Summer Camp Programs
  • Help decorate and prepare with the Education Coordinator the Summer Camp Programs

 

            Minimum Job Requirements

  • Bachelor’s Degree (preferred)
  • 3 years’ experience collaborating effectively with public schools and community based organizations to improve the outcomes of at-risk students in an after school setting
  • Significant experience with assets and needs analysis, community organizing, problem-solving, networking and developing relationships with private and public partners, program coordination, and improving access to resources for students, parents, school staff and community members.
  • Commitment to ongoing learning and development, proven use of supervision to improve practice
  • Strong communication and interpersonal skills
  • Ability to approach challenges in a supportive and creative manner
  • Excellent organizational skills.
  • Flexible schedule and willingness to work school hours as well as some weekends/evenings if need be
  • Experience in programming design and recruitment and outreach strategies.
  • Eager to work in a fast-paced, arts and education-focused environment
  • Bilingual – Spanish/English is preferred
  • Strong computer skills: knowledge of Google Drive and other standard business technology is required.
  • Integrity, professional discretion and professionalism
  • Ability to meet deadlines and prioritize tasks

PHYSICAL REQUIREMENTS AND WORKING CONDITIONS

  • Work an office environment.
  • Position requires travel from the main site to the program site located in Anne Arundel County
  • Frequently sitting and standing for a long periods of time
  • May require occasional standing, cleaning, organizing, walking, lifting, and bending.

Knowledge, Skills and Abilities Required

This position requires the following abilities: competence in verbal and written communication, excellent organization and prioritization skills, and able to work with students and instructors.
